Instructions to authors

To propose a contribution, we ask to prepare a short summary of 200 words in .pdf format. The summary must contain a brief description of the communication as well as a list of keywords. Naturally, he will have to provide the title of the communication, the author(s), their affiliations and their addresses. Please use a LaTeX template or WORD template to complete your submission and peraper next a pdf file for the soumission.

 

The author submitting a contribution is the  contact person for that submission. Multiple submissions are possible with the same account. The file to upload is the  associated PDF document. Abstract submissions must be made by  May, 12 2023.

 

Electronic submission

To submit an abstract, you must: 

  • Create an account (if you don't already have one) on scienceconf.org or on this conference's website (top right button).In both cases, you will receive an email with a link allowing you to validate the creation of your account.  
    • Attention ! If you have already created an account on Hal or Episciences, this account can be reused to access Sciencesconf.org. No need to create a new account.
    • Don't remember if you already have an account? An account is associated with an email address. When you enter your email address on the account creation form, the system will tell you if the email address is already in use. You can recover your password here: https://www.sciencesconf.org/user/lost.
  • Create a submission:   
    • Log in to your account from the conference site.
    • Go to My space>My submissions and click on “Submit a summary”.
    • By default, you will need to fill in and verify 4 steps:  
      • Metadata step. Fill in at least all the mandatory information marked with an *. Enter the title, the short abstract and choose the type of submission (oral presentation or poster) as well as the main theme(s).
      •  Step Author(s). This part allows you to inform the authors of your submission. You can enter as many authors as you wish by clicking on "Enter an author".
      • File(s) step. This step allows you to submit the pdf file containing the long presentation text of your communication/poster. Don't forget to click the "Transfer" button. The file should appear at the bottom, under FILE.
      • Summary step. This last step allows you to view your submission (all the metadata entered and the file containing the long text). If you wish to return to your deposit, click on the previous steps, otherwise click on “Deposit” 
  • Check the statuses of your deposit: the different statuses concerning your deposit(s) are:   
    • Initial: indicates that your submission has not yet been reviewed by reviewers. No action has yet been taken by the conference administrators; you can still modify your deposit. 
    • Reviewed: your submission has been evaluated but the coordinator (the president of the scientific committee) has not yet decided on the outcome of your submission. Your deposit cannot be modified. Awaiting change: The site administrators are waiting for a change from you.
    • Accepted: your deposit has been accepted and can no longer be modified. 
    • Denied: your deposit has been denied.

 

Modify your deposit

You can no longer modify deposits that have been accepted (in green), refused (in red) or reread (in white). If you wish to make changes to these repositories, you must contact the symposium administrators (the contact link can be found in the menu of the symposium site).

However, if your deposit has the status "Initial", you can go to the "My deposits" menu and click on the small pencil to the right of your deposit in order to be able to make changes to it.

Similarly, if the status indicated is "Waiting for modification", just click on the pencil to modify your deposit.

Access reviewer notes and comments

Once your deposit has been evaluated, you will be able to access the notes and opinions of the reviewers by clicking on the small eye to the right of your deposit in the “My deposits” menu.

If there are any changes to be made to your submission, you will receive an email with the comments from the reviewers.
